AI
AI tender screening that has to quote its evidence
AI reads every match against your firm's own description of its work, finds the bids your rules missed and answers questions with its sources, and a bid-fit engine is now in pilot. Every verdict quotes the tender, the code checks the quote, and no model can delete a tender.

The boundary
A model never decides a fact
Collecting, matching and reading documents run on rules and fields any result can be traced to. AI sits on top as an adviser, and every one of its verdicts carries a check a person can read.
| Collecting tenders | Portal adapters. No AI. |
|---|---|
| Deciding a match | Your versioned rules file. No AI. A model never makes, changes or deletes a match. |
| Reading bid documents | A document parser that reads labelled fields. No AI. |
| Comparing BOQ lines | Set overlap and counting. No AI. |
| Pricing from past jobs | Arithmetic over your own ledger. No AI, and never a model generated number. |
| Screening | AI, advisory. Can set a match aside, with a quote, reversibly. |
| Worth a look | AI, advisory. Can suggest a bid in a separate lane, with a quote. |
| ScanX AI | AI, grounded. Answers from your data through fixed tools, with every figure checked. |
| Bid fit, in pilot | AI, advisory, in shadow. Scores a tender's fit from the firm's own past bids and explains the score with quotes. |
01 · Screening
Setting aside what your keywords caught by accident
Keyword rules are precise about vocabulary and blind to context: fabrication of matches steel racks and changing rooms alike. The screen reads what is being bought, against your firm's own description of its work.
- 01Every open match is read by a first model, which must answer in a fixed schema: in line or not, a reason from a closed list, a confidence, a quote and the field the quote came from.
- 02The quote is checked word for word against the notice. A reply whose quote is not found, or that quotes only the keyword that matched, is discarded.
- 03Only a confident, verified not in line verdict goes to a second model from a different vendor, which must agree on its own terms with its own quote.
- 04A match is set aside only when both agree. It moves under Auto-rejected with the reason and the quote, off the main list and its counts.
- 05Shortlisting a set aside bid brings it straight back. The model's opinion never overrides a person's.
Always kept, whatever a model says
- Anything your team has already acted on
- Any bid that names your firm as an invited seller
- The reference bids you gave us as examples of your work
- Any notice containing text addressed to a model, such as an instruction to ignore previous rules
Reasons a match can be set aside
- Civil or building work
- Facility and housekeeping services
- Grounds and horticulture
- Software licences and IT
- Computers and printed circuit boards
- Building electrical and plumbing
- Office supplies, furniture and printing
- Textiles and clothing
- Food and catering
- Medical and laboratory supplies
- Automotive
- Models, toys and books
- Training, events and manpower
- Other non-engineering work
The list is written per workspace. A firm that does make furniture does not get furniture set aside.
02 · Worth a look
Suggesting the bids your rules missed
The mirror of the screen. For open, in scope bids that no rule matched, two models are asked whether what is being bought is plainly your line of work. When both agree, each with a verified quote, the bid is offered in a separate Worth a look lane.
| Never a match | A suggestion stays out of your list and every count until someone shortlists it. The decision to add it is always a person's. |
|---|---|
| Quoted | Each suggestion shows the line of the notice that suggests it, and the field it came from. |
| Self clearing | A suggestion that closes, is later matched by a rule, or is declined leaves the lane on its own. |
| Shadow first | Each workspace runs it silently before it is switched on, and a person reads what it would have suggested. |
03 · ScanX AI
Questions about your tenders and your book, answered with sources
Ask in plain English what is open, what closes this week, which projects are losing money or what a similar job cost last time. ScanX AI answers through a fixed set of tools over your own data, never free form database queries, and cites the rows it used. Included in the Group plan.
Two open bids from known buyers close by Friday S1. The closest past job to the switchgear bid is a 4 panel VCB order from the same station, completed at a 21% margin S2.
| Bid | Closes | Cost floor |
|---|---|---|
| 11 kV VCB panels, 5 nos | 02 Oct | Rs 14.6 lakh / panel |
| Gate valves, 150 NB | 30 Sep | fewer than 3 comparables |
S1 Open bids, filtered to known buyers · S2 Project ledger, 4 comparable jobs
| Figures are checked | Every rupee amount and percentage in an answer is compared with the tool results it read. A mismatch is retried once, then the table is shown instead of the prose. |
|---|---|
| Numbered sources | Answers cite S1, S2 and so on, each opening the rows behind it. |
| Scoped by role | A division user's assistant has tender tools only: no ledger, no payroll, no money. What a person cannot see, the assistant cannot read. |
| Private chats | A chat is visible only to the person who wrote it, kept 90 days from its last message, and left out of backups. |
| Names stay home | People's names are replaced with placeholders before anything reaches a model, consistent within one chat and never reused across chats. |
04 · Bid fit, in pilot
Learning which tenders your firm pursues
Now piloting with a customer. The bid-fit engine learns from a firm's past bids which tenders it pursues and which it declines, then scores each new tender for fit. It runs in shadow while it proves itself against the firm's real decisions.
| Learns from your bids | Your firm's own past bids: which tenders it pursued and which it declined. |
|---|---|
| Explains every score | Each fit score comes with quotes from the tender that explain it. |
| A person checks the borderline | Tenders near the line go to a To check lane for a person, not to a verdict. |
| Shadow first | It runs in shadow, scored against the firm's real decisions, and must pass them before it may hide anything. It can be switched back. |
| Advises, never decides | Like every AI lane in ScanX, it never decides a fact and never deletes a tender. |
Checks and data
Watched in production, and kept away from training
The checks that keep running after a workspace is switched on.
| Tripwire | Every hour the screen's verdicts are compared with your team's decisions. If a model set aside a bid your team later pursued, we are alerted that hour. |
|---|---|
| Pinned hosts | Model calls go only to named hosts that keep no data, with fallback routing off. An answer from any other host is discarded, not used. |
| Nothing trains | Data collection is refused on every call. Nothing you give us trains a model. |
| Only what it needs | Screening and suggestions see the public tender notice and a written description of your line of work. Never your list, your decisions or your book. |
| No model in the interface | The product never names a model, a host or a score. Models change; the checks above do not. |
